The company shall hereinafter be referred to in this Privacy Notice as "Yuchisoft" or the "Company".
2. Scope of the Privacy Notice
This Privacy Notice has been prepared to inform you about the purposes, methods and legal grounds applicable to the processing of personal data submitted to us through the Digital Maturity and Efficiency Preliminary Assessment Form available on Yuchisoft's website.
The information shared through the form will be used to evaluate your company's current position in relation to costing, quotation management, order management, job specifications, production, inventory, quality, shipping, management reporting, process standardisation and employee dependency.
Based on the information you provide, a Digital Maturity and Efficiency Assessment Report tailored to your company may be prepared.

For the purposes of ensuring the secure operation of the form and website, verifying transactions and managing potential legal disputes, the following limited technical data may be processed:

You are not requested to submit any special categories of personal data through the form.

- Responding to your questions, suggestions and requests,
- Managing customer and prospective customer relationships,
- Planning and improving our products, services and solutions,
- Conducting analysis and reporting activities,
- Improving service quality,
- Managing information security processes,
- Ensuring the security of the website and form,
- Preventing unauthorised access, attempted misuse and unlawful transactions,
- Establishing, exercising or protecting the Company's legal rights in the event of a dispute,
- Responding to lawful requests from authorised public institutions and authorities,
- Fulfilling obligations arising from applicable legislation.

Personal data necessary for receiving your assessment request, providing the assessment service requested by you, preparing the report and conducting the relevant meeting may be processed on this legal ground.
6.2. Processing being necessary for the data controller to fulfil its legal obligations
Personal data necessary for fulfilling our statutory obligations and responsibilities towards authorised public institutions may be processed on this legal ground.
6.3. Processing being necessary for the establishment, exercise or protection of a legal right
Personal data may be processed for the purposes of recording requests and transactions, resolving potential disputes and protecting the Company's legal rights.
6.4. Processing being necessary for the legitimate interests of the data controller, provided that such processing does not prejudice the fundamental rights and freedoms of the data subject
Personal data may be processed where necessary for assessing applications, managing prospective customer relationships, improving service quality, ensuring information security and preventing misuse.
As a general rule, the processing of personal data necessary for receiving your Digital Maturity and Efficiency Preliminary Assessment request and providing the assessment service requested by you is not based on your explicit consent.
Where advertising, campaigns, events, product announcements or commercial electronic communications are to be sent independently of the assessment process, separate and optional marketing consent will be obtained where required.
7. Transfer of Personal Data
Personal data processed by Yuchisoft:
- Are not sold,
- Are not rented,
- Are not provided to other companies as customer lists,
- Are not shared for use in the independent advertising or marketing activities of third parties.
Where necessary for fulfilling the purposes specified in this Privacy Notice and securely providing our services, your personal data may be transferred, on a limited basis and in accordance with the principle of data minimisation, to the following recipient groups:
- Authorised Yuchisoft employees who require access to the relevant data due to their duties,
- Suppliers providing information technology, website, server, hosting, backup, data security, email, communication and technical support services,
- Legal advisers, financial advisers and independent auditors,
- Public institutions and authorities authorised by law,
- Courts, enforcement offices and other authorised judicial or administrative authorities.
Service providers may process personal data solely in accordance with Yuchisoft's instructions and only to the extent necessary to provide the relevant services.
The necessary administrative and technical measures are taken to protect personal data within the scope of our relationships with such parties.
Company, contact, operational and assessment information submitted through the form will not be made available to third parties for commercial use.
8. Transfer of Personal Data Abroad
As a general principle, personal data obtained within the scope of the Digital Maturity and Efficiency Preliminary Assessment will not be transferred abroad.
However, personal data may be transferred abroad where a service provider established outside Türkiye is used, or where data are hosted on servers located outside Türkiye, in connection with website, server, email, online meeting, customer relationship management, cloud infrastructure or similar services.
Where such a transfer takes place, your personal data will be transferred in accordance with the provisions of Law No. 6698 governing international data transfers and the applicable secondary legislation, subject to the implementation of the necessary legal and technical safeguards.
9. Retention Period for Personal Data
Your personal data will be retained for as long as necessary for the purposes for which they are processed, taking into account the retention and limitation periods prescribed by applicable legislation.
Personal data obtained through the assessment form will be deleted, destroyed or anonymised, unless there is another valid legal ground requiring their continued processing, following:
- Completion of the assessment and reporting process,
- Delivery of the assessment results to you,
- Completion of the communication and meeting process conducted with you,
- Conclusion of any discussions relating to a potential service or business relationship,
- Expiry of statutory limitation periods applicable to potential legal disputes,
- Expiry of retention obligations arising from applicable legislation.

- Learn the purpose of processing and whether the data are used in accordance with that purpose,
- Know the third parties in Türkiye or abroad to whom your personal data are transferred,
- Request correction where your personal data are incomplete or inaccurate,
- Request the erasure or destruction of your personal data under the conditions set out in the Law,
- Request that correction, erasure or destruction be notified to third parties to whom the personal data have been transferred,
- Object to an outcome to your detriment arising from the analysis of processed data solely by automated systems,
- Claim compensation for damage arising from the unlawful processing of your personal data.

Your application must contain the following information:
- Your name and surname,
- Your signature if the application is in writing,
- Your Turkish ID number if you are a citizen of the Republic of Türkiye,
- Your nationality, passport number or identity number if you are a foreign national,
- Your residential or business address for notification purposes,
- Your email address, telephone or fax number for notification, if any,
- The subject of your request,
- Information and documents supporting your request.
Your applications will be concluded free of charge as soon as possible and within 30 days at the latest, depending on the nature of the request.
Where the process requires an additional cost, a fee may be charged in line with the tariff determined by the Personal Data Protection Board.
13. Changes to This Privacy Notice
This Privacy Notice may be updated in the event of changes to applicable legislation, our personal data processing activities, our services or the technological infrastructure used.
The current Privacy Notice takes effect on the date it is published on the Yuchisoft website.
